When one thinks of an office, what would come to mind is data. Files and information. And all these are printed and documented in papers. Ninety percent of the world’s information is still on paper. One can well imagine what tons of stacks of papers that would be. And most of them are stored in offices. With all this, can one ever imagine a ? “Paperless office” may seem to have been inconceivable. But as many are inconvenienced by the office’s clutter, they are now embracing the idea of a paperless office. What does this really mean? The concept of the paperless office has captured the imagination of many professionals.

Many years back, the idea of the paperless office was known to be an ideal in need of attaining. The concept is indeed novel, and it is often less understood. But one should well know. Going paperless means drastically increasing efficiency in the office while reducing costs. By the term “paperless office”, it means a process by which records are transferred from paper to the computer. It’s as simple as that but it makes a tremendous difference in so many ways. The is sometimes referred to as “document imaging”. Others mistaken the paperless office as a technology initiative.



And implementation of it continues to be slow in many organizations. A good organizational system entails increased productivity with lesser cost and time investment. This can be done by automating document manipulation, storage and retrieval. The paperless office is more than cutting down on paper. It is really about moving information as efficiently and as quickly as possible. One will never have to lose again another important document with a paperless office. With it, disasters like fires cannot destroy valuable information. Security is even so much better as control can be imposed on whoever can have access to the information.

Being paperless is a good investment for an office. Apparently it results to reduced expenses in storing paper, mailing, printing and shipping. Records are also much easier to find and refer to, so customer service is all the more improved. With a paperless office, redundant information is eliminated. This is so as multiple employees or departments need not have printed copies of the same document. Distribution of updated versions of documents is also done away with. A networked infrastructure is involved in the paperless office. This allows for an improved document management in the office. As a result, employees work with greater efficiency.

This can be very helpful for companies in urban areas. It can lead to significant savings as office and warehouse space in these areas comes to a premium. This is where training and coaching begins especially on the benefits of the and the convenience it can bring.
